Job Description
DescriptionKey Functions and Expected Performances:
Customer Service
- Has a working knowledge of VU policies and procedures and any reference tools that may be helpful/needed
- May respond to Processing systems issues with assistance from others (such as ETO, Benefits, etc)
- May communicate with insurance carriers and other program vendors (based on job emphasis)
- Answers emails to group email accounts
- Answers calls and triages calls within the department and/or Vanderbilt
- Evaluates and assess customer needs
Document Handling
- Preps documentation for production of off-cycle checks
- Facilitates document review from data input
- Review tuition reimbursement request and take appropriate action
- Produces monthly Billing statements, HIPPA and COBRA letters
- Produces dependent tuition request
- Responsible for ensuring all data input is completed
- Issue resolution for discrepancies in PMF system versus PAF request
- Reviews documents for proper sign-off authorization
Workflow
- Facilitates document distribution via the courier on a timely basis
- Assists with data input audit process
- Reviews Billing statements and delinquent reports for adjustments
- Works with other departments to initiate/perform transactions (request of demand checks, retirement, accounting)
- May faciliate workflow of Processing Specialist I
Data Input
- Processes all Leave changes
- Reviews complex PAF transactions, inputs changes
- Backup with processing all types of PAFs
- Works with Team Lead in the yearly House Staff process and acquisitions, as they occur
- Ability to perform Data Input transactions of Level I
Documentation
- Documents all supporting processes for Standing Operating Procedures
- Edits lower level(s) documentation
- May work with with Senior team members to document processes
Teaching
- Capable of cross training others in their positions and to learn similar job functions of co-workers
- Educate customers on processes related to job functions
Audit
- Assists with data input audit process
Advanced Transactions
- Computes Gross to Net wage calculations via systematically and manually(based on job emphasis)
- Calculates payroll and/or benefit deductions (based on job emphasis)
- Processes voluntary/involuntary deductions such as levies and garnishments (based on job emphasis)
- Understands compliance issues related to their job emphasis
- May Processes off-cycle checks
- Researches issues
- Receives all sign-on bonus payment requests
- Ensures the submitted information is accurate and complete
Systems
- Runs available queries in PeopleSoft
- Understands PeopleSoft and the applications that feed into it
- Works toward learning and understanding applications that rely on information for processing (such as Waldo, ETO, Privilege Management, etc)
